WHAT INFORMATION WE COLLECT AND HOW WE USE IT:

We collect several different types of information for various purposes to provide and improve our Service to you.

1. Information Provided When You Contact Us

 

When you contact us, we collect the following information that you may provide us:

  • Event registration number

 

We use this information only to get in touch with you, to answer your request.

2. Information Provided by You Upon Registration

 

When you register for an event we collect the following information that allows us to identify you (“Personal Information”):

  • Name
  • Occupation
  • Specialty
  • Country
  • City
  • Personal numeric code (only for Romanian residents)
  • Workplace institution
  • Stamp code (only for Romanian residents)
  • CUIM code (only for Romanian residents)
  • E-mail address
  • Phone number

 

We use this Personal Information to administer your access to an event you registered, verify your identity, and provide our products or services to you, such as event badge and participation diploma.

 

With your Consent, we are allowed to release your Personal data to other participants or Members in order to allow the use of search functions or other tools to facilitate communications between participants or Members. You may, at any time, revoke your Consent by emailing us at stolnicu@gmx.net

 

With your Consent, we are allowed to forward your Personal data for consulting, advertising, market or opinion research purposes to industry partners whose stand you visited during the Conference and whom you allowed to scan the QR Code of your name badge. You may revoke your Consent at any time by sending an email to stolnicu@gmx.net

3. Information provided when you make a payment

 

If you made a payment into one of our bank accounts, you provided us the following information:

  • Name
  • E-mail address
  • Bank account number

 

We use this information for registration, confirmation, evaluation and certificate your participation to an event organized by us.

 

We do not collect nor process any payment data on or through the Platform. If you pay with your credit card, Payment data will be exclusively collected and processed by our Payment provider.

 

We guarantee not to copy, store, save, capture or intercept payment instruments related information such as credit card (AMEX, VISA or MASTERCARD) numbers, expiry date, holder name, card summary (last 4 digits), card BIN or IIN (6 first digits), card type, issuer, issuing country, CVV codes, passwords entered into the Payment interface. Your credit card information will be transferred to the Payment provider as encrypted data to the Payment provider’s server. Encrypted data can only be decrypted by the Payment provider.

 

You understand and explicitly agree that the Payment provider will act as data controller of your Payment data.

4. Information we collect when you attend one of our events

 

When you attend any Conference and/or Event that we organize, we may collect the following Personal data:

  • Photographs;
  • Videos (including sound);

 

With your specific Consent, we will use the photographs and/or videos taken at a Conference and on which you appear. These photographs and/or videos will be displayed by us or our partners in future publications or materials connected with the Event as well as on our social media.

 

You may revoke your Consent at any time. If, during the Conference, you do not wish for your image to be displayed by us, please go to the nearest information desk in order for them to put a special sticker on your badge.

 

If, during the Conference, you accept to have your badge scanned when visiting an exhibiting company booth or by a hostess at an industry sponsor session (i.e. industry satellite symposium), your badge will enable them to retrieve the following information:

  • Name
  • Occupation
  • Specialty
  • Country
  • City
  • Personal numeric code (only for Romanian residents)
  • Workplace institution
  • Stamp code (only for Romanian residents)
  • CUIM code (only for Romanian residents)
  • E-mail address
  • Phone number

 

The way this information is stored and processed is subject to the privacy policy of the company who scanned your badge. We cannot accept any liability in this regard and recommends you make yourself aware of the relevant privacy policy.

5. If you submit a proposal or content in connection with a scientific session at a Conference, your Personal data will only be used for the intended purpose.

 

The proposal or content will be shared with the following providers, which information will be made available to you at the time of the submission, along with the following Personal data that relate to you:

  • Poster/ePoster provider: first and last name, country, institution affiliation, email address and abstract;
  • Webcast/live broadcaster provider: first and last name, email address and presentation or session title;
  • Book design company and printer: first and last names, country, institution affiliation and presentation or session title;
  • App provider: first and last name, country, email address, institution affiliation, presentation or session title, biography and picture;
  • Abstract book editor: first and last names of all the authors and co-authors, country, institution affiliation, email address and abstract.

6. Passively Collected Information

 

When you access our Sites, we automatically collect information such as your computer’s Internet Protocol (“IP”) address, browser type, browser version, and the pages of our Site that you visit, the time and date of your visit, the time spent on those pages and other statistics. We also collect information about you through social media sites you use to access our Site depending on the permissions you have given for access to your information.

 

We use passively collected information to monitor and maintain the performance of our Sites, analyze trends, usage and activities in connection with our services, validate users and ensure their technological compatibility with users, and optimize our marketing efforts.

 

We may partner with our third party resellers to receive information about you, such as name and contact information. This helps us to fulfill your service requests and/or to provide you with services that may be of interest to you.

 

We use cookies to remember users’ settings, market products and services to users, and for authentication purposes. 7. Marketing

 

Histopat-Invest does not sell, trade, or rent your Personal data to others.

 

With your specific Consent, we will use your email address to send you information regarding our Services and any promotional offers and for electronic advertising purposes. We will however not monetize your Personal data by transferring them to third parties.

 

Your Personal data may also be used in in order to test your interest in the creation of new services, products or activities based on elements of your profile, your interests or your use of the Service. Your Personal data may also be used in order to improve the Services offered by Histopat-Invest and to prepare anonymous statistics, including for big data purposes.

8. Customer service

 

You Consent that we use your Personal data for customer service purposes, including responding to your enquiries. This typically requires the use of certain personal contact information and information regarding the reason for your inquiry (e.g. technical issue, question/complaint, general question, etc.).

THIRD PARTIES DATA SHARING

 

We may share Personal Information with affiliated businesses we sometimes hire other companies (“Service Providers”) to perform certain business-related functions. Examples include banks, event collaborators, maintaining databases service providers, and hosting services providers. When we employ a Service Provider to perform a function of this nature, we provide it with the information that it needs to perform its specific function, which may include Personal Information and other information that you provide to us via a Site. These companies are authorized to use your Personal Information only as necessary to provide these services to us.

 

We also use third party services such as Google Analytics that collect, monitor and analyze this data. Apart from our company, the personal data you provide us can have access to collaborators who offer us the following services: – Accounting – (name, surname, address, CNP) – Online payment processing – (name, surname, address, CNP, email, phone) – Send emails via SMTP – (email address).

 

We may disclose Personal Information if required to do so by law or in the good faith belief that such action is necessary to (a) comply with a subpoena or similar legal obligation, (b) protect and defend our rights or property, (c) act in urgent circumstances to protect the personal safety of users of any Site or the public, (d) protect against legal liability, or (e) or as otherwise required or permitted by law.

We may also share your Personal data to the following external partners in the circumstances below:

  • Conference exhibitors who scan your badge: If you accept to have your badge scanned when visiting an exhibiting company stand, or by a hostess at an industry sponsor session, your badge will enable them to retrieve the following Personal data: nominative (title, first name(s), last name(s)), address (postal address and email), telephone, fax and profile information (professional activity, place of work and fields of interest).

 

  • Group representatives and agencies handling your Conference or Event registration: Where your registration is handled by someone other than yourself, your confirmations, badges or vouchers may be sent to this third party. These contain nominative details about you.

TRANSFER OF DATA

 

Histopat-Invest will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of your data and other personal information

SECURITY OF DATA

 

The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

DATA PROCESSING TIME:

 

The personal data you provide us will be processing for a reasonable time for the purposes (or until the firm decides (or you request)) to delete them.

NOT KEEPING DATA

 

Customer / User / Purchaser payment card data will not be accessible or stored by Histopat-Invest, but only by the Transaction Authorization Authority or another entity authorized to perform card storage card storage services, whose Customer / User / Purchaser will be informed before the data is entered. 3D Secure: 3D Secure is a new global approach to authenticating buyers and sales in secure Internet transactions. This security measure involves redirecting the user when making a payment on a secure page where the registration of each cardholder is done by assigning an authorization code for each online transaction. YOUR RIGHTS
